Start With the Full Cost Stack
A supplier unit price is only one part of the order cost. Custom products can also include artwork setup, mold or tooling, sample fee, sample freight, packaging, labels, inspection, export cartons, palletizing, and production changes after sample approval.
After the goods leave the factory, buyers still need to consider freight, customs duty, import tax, brokerage, destination handling, warehouse delivery, and possible storage or event-delay cost.
Understand Shipping Terms
EXW, FOB, CIF, DDP, courier, air freight, and sea freight can include different responsibilities and charges. Buyers should avoid comparing a low EXW production price against a DDP quote that includes more services.
For promotional products, deadline and carton volume may be more important than unit price. A lightweight but bulky item can become expensive by air or express freight.
Estimate Carton Volume and Chargeable Weight
Freight cost often depends on carton dimensions, gross weight, volumetric weight, and destination. Buyers should ask for estimated packing details before choosing a shipping method.
Packaging choices can change landed cost. Gift boxes, retail packaging, inserts, and protective packing may improve presentation but increase carton volume and freight cost.
Include Duty and Import Assumptions
Import duty and tax depend on product classification, destination country, declared value, material, and current rules. Buyers should confirm classification and duty assumptions with their broker or import team.
The supplier can help with product description, material, invoice, packing list, and HS code suggestion, but final import responsibility usually depends on the buyer arrangement and shipping term.
Use Landed Cost for Supplier Comparison
A supplier with a slightly higher production price may still be better if packaging is more efficient, QC is cleaner, rework risk is lower, or shipping assumptions are clearer.
Buyers should compare total campaign cost, not only the factory quote. This is especially important for event merchandise, corporate gifts, private label packaging, and mixed promotional kits.
